What you sign, and how your data is used

Two questions stall every signature: what am I authorizing? and what happens to my data? Here are the concrete, true answers.

The scan terms (step 1)

Uploading invoices grants a limited license to process those documents solely to produce your defect report. It is free, confidential, and creates no obligation - and no disputes are filed at this stage.

The letter of authority (step 3)

What it is: it appoints {{BRAND}} as your authorized agent to request mitigation, refunds, or waivers for specific invoices - and nothing else.

Scope-limited: only invoices identified in your defect report and individually approved by you.

Revocable: you can withdraw authority; fee treatment of recoveries already in motion is set out in the engagement letter.

Not a power over money: refunds and waivers are paid by the biller directly to you - {{BRAND}} never receives, holds, or routes your funds.

Fee: success fee only - scanning is free and filing is free, with no upfront charge of any kind. The published rate is 20% of amounts eliminated or recovered; on a direct client's first engagement the fee is waived on the first $5,000 of cumulative recoveries, with 20% applying above that (broker-referred engagements engage at the standard rate). Your rate is locked for 12 months from execution, pinned at signing and never changed retroactively. Invoiced after the outcome with the evidence pack attached. No win, no fee.

Payment authorization: at LOA signature you provide a payment authorization; the success fee charges only when a defined trigger event - a charge eliminated or recovered - occurs and is evidenced. A failed charge is surfaced and resolved by invoice.

Non-payment confirmation: for each disputed invoice you sign a confirmation of intent to withhold payment while the dispute is pursued; nothing files without it.

Referral disclosure: if your broker or forwarder referred you, they receive a referral share paid out of our collected fee - never a markup to you, and your fee is identical either way.

How your data is used

To read your invoices we use Google's Gemini API as a document-processing service; we send it only the documents needed to run your scan. Invoices arriving by email at your scan address are processed the same way - the message and its attachments are used solely to run your scan and, on engagement, your disputes. Never sold, and never shared with a billing party except as part of a dispute you approved. Data is deleted on request and on exit, per our retention policy. E-sign events are hashed and timestamped so both sides can prove what was agreed.
